Proposal

PreviousNext

Proposal templates for free pilots, paid conversion, and district / government deals — Arabic and English.

A proposal is the artifact that moves a school from Trial (Stage 3) to signed pilot or paid contract. This page holds the templates. Templates are starting points — every proposal must be customized for the school name, student count, country, and decision maker. For pilot strategy see Pilot; for tier pricing reference see Business Model.

When to send a proposal

TriggerProposal type
Discovery + Trial complete; school asks "what next?"Free Pilot Proposal
Pilot month 5; school engaged; conversion conversation duePaid Conversion Proposal
Government / district approach; multi-school RFPDistrict / Government
Network of schools (3+) under same ownerMulti-School Bundle

If the school has not asked for next steps, do not send. Discovery → demo → trial → ask → propose. Out of order = noise.

Proposal anatomy

Every Balqalam proposal contains the same eight sections, in this order:

#SectionWhat goes here
1CoverSchool name, contact, date, our name + role
2UnderstandingWhat we heard about their pain (3–5 sentences, school's own words)
3What we proposeThe pilot or paid offer in one paragraph
4What's includedFeature list scoped to school size
5TimelineDay 0 → Day 30 → Day 90 → Day 180
6InvestmentPrice (zero for pilot), terms, exit
7Why usThree differentiators tied to their pain
8Next stepOne concrete CTA with date

Keep it under 4 pages PDF. Long proposals lose to short ones.

## Why Balqalam for {{school_name}}

1. **Arabic-first**, RTL-native — built for MENA, not bolted on. {{tie to their pain}}
2. **Multi-tenant from day one** — your data is isolated by design, not by promise.
3. **Live and proven** — production at [balqalam.com](https://balqalam.com); the King Fahad Schools pilot has been running since April 2026.

## Next step

A 30-minute call between {{contact_name}} and {{owner}} on {{proposed_date}} to confirm fit and sign the one-page pilot agreement. We provision your subdomain within 24 hours of signing.

Reply with "yes" or a counter-time and we will hold the slot.

Template 2 — Free Pilot Proposal (Arabic)

See Arabic proposal template for the full RTL Arabic version. Key differences: school addressed with formal Arabic title (مدرسة كذا), date in Hijri + Gregorian, currency presented in both SDG / SAR / USD as relevant per country.

Template 3 — Paid Conversion Proposal (Month 6)

# Balqalam Paid Plan — {{school_name}} (post-pilot)

| Logo                             | Founding partner on balqalam.com        |

## Alternative — 12-month extension

If your budget is not ready: 12-month pilot extension at $0 with monthly check-ins instead of weekly. We preserve your case study; you preserve cash. Available to 5 of our 10 founding pilots.

## Next step

Reply with one of three:

- **Yes, paid year 1** — we send the agreement.
- **Yes, 12-month extension** — we hold a slot.
- **Not now** — we keep the subdomain live for 30 days for data export.

Template 4 — District / Government Proposal (stub)

For multi-school deals with a ministry or district office, the template above is wrong. Government deals require:

SectionSource
Compliance postureFERPA, GDPR, regional data residency
Procurement vehicleRFP response, sole-source justification, framework agreement
Volume pricingENTERPRISE tier from Business Model — $1.00 / student / month
Implementation servicesFrom Business Model — $5K–$100K SoW range
SLA99.9% uptime, defined penalties
Multi-year termsYear 1 + 2 optional + 3 optional structure

Until our first district deal closes, this template is a checklist — draft per opportunity with Ali, Sedon, and Abdout reviewing.

Customization checklist

Before sending any proposal, confirm every variable is filled:

  • {{school_name}} — formal name in school's preferred language
  • {{contact_name}} and {{role}}
  • {{owner}} and {{owner_email}} — usually Ali for pilots, Abdout for paid
  • {{date}} — today's date, plus 14 days for {{proposed_date}}
  • {{slug}} — subdomain (lowercase, hyphenated)
  • {{student_count}} — confirmed with school, not guessed
  • Curriculum seed — Sudan / Saudi / generic — matches school's curriculum
  • Pain section uses 2–4 sentences from the school's own discovery call notes
  • PDF rendered, branded, under 4 pages
  • Sent as PDF attachment + paragraph summary in email body

Sending playbook

DayAction
Day 0Send proposal email (PDF + 3-sentence summary in body) to primary + cc
Day 3Soft check-in — "any questions on the proposal?" (one line, no PDF re-attach)
Day 7Decision-maker follow-up — propose a 15-min call to resolve any blocker
Day 14Last touch — confirm if interest is still active or close the loop
Day 21If silent — move to lost in Leads, log reason

Three contacts max. After Day 21, stop. Quality outreach is finite; channel future effort to the next prospect.
